*Please review thoroughly *before* adding accounts to TMLC

Welcome! The fact that you are viewing this page means that you likely received one or more welcome emails from Thinking Maps with the Subject: Getting Started with the Thinking Maps Learning Community and information about your school's (or schools') TMLC subscription(s). 


IF for some reason, you’ve found this page without reading a welcome email, please search your inbox (or Spam/Junk box)  for From: “no-reply@thinkingmaps.com” or by Subject, "Getting Started with the Thinking Maps Learning Community" if you have trouble finding it. 


This also means that you have been designated, by your Principal or other Administrator, to create and manage all TMLC accounts for one or more schools in your school district. If this is incorrect please contact your Principal or TMLC Support.


Each of your assigned schools' dedicated login URLs + your login credentials are included in each welcome email.  The URL will be formatted like this:


http://community.thinkingmaps.com/system/login/[each school's USS code] 



NOTE: Best browser for managing data in TMLC: Chrome, then Safari and Firefox.  IE9 is definitely not recommended for using TMLC in general. 



Let's get started!


STEP 1: Go to your default school's dedicated login page  and log in.


STEP 2: Click the gears icon (Settings) in the upper right corner:



You will land on the Dashboard which provides a snapshot of your default or selected  school's TMLC information, including the dedicated Login page URL.  See screenshot, below.


NOTE: If you are only assigned to administer one school, you will not see School Name and Change School in the purple bar.


NOTE: If you ARE assigned to administer more than one school, you may change the school that you want to administer by clicking the Change School link in the upper right.

CHANGE SCHOOL POP UP DIALOG 

(only for administrators of multiple schools)



 

STEP 2: From the purple menu bar, click Licenses.  From this screen you may administer user accounts in an active Teacher license via the Actions drop-down.

STEP 3: From the Actions drop-down menu, select one of the options from the drop-down menu:


  • Users List: to view the current list of teacher accounts and their login activity
  • Add a new user:  to create a single account at a time (also available via the Users List)
  • Add users in bulk: to create multiple accounts simultaneously (also available via the Users List)
  • Export: to export the Users List to a .csv file (also available via the Users List)

STEP 4a:  Add new user

Use this option to create 1 user account at a time.


NOTE: if the user account you are attempting to create is already in the TMLC, under a Training or Promotional account or in another school, you will receive a courtesy notification.  Simply click Save to add the user to your school

STEP 4a: Add users in bulk --> Add

Choose this option if you want to ADD multiple new teacher accounts at a time.  


STEP 4b: Add users in bulk --> Bulk Updater

Choose this option if you want to UPDATE all of your Teacher accounts at one time.


This option will automatically:

  • KEEP teacher accounts that you want to retain (accounts already in TMLC AND in your .xlsx file)
  • ADD new teacher accounts   (accounts not in TMLC but ARE in your .xlsx file)
  • DELETE teacher accounts that you do not want to retain  (accounts already in TMLC but NOT in your .xlsx file)


First be sure to select the correct license to administer:

STEP 5: PLEASE REVIEW the instructions on the Upload Users In Bulk screen as well as the instructions below. Be sure to download the Bulk Upload Template as instructed:

STEP 6: Find the downloaded template in your Downloads folder. The file name will be Teacher Users.xlsx 

(feel free to rename the file, but ensure that it remains as an .xlsx).


STEP 7: Populate the .xlsx file with each teacher’s LastName, FirstName, LoginID and Password.

  • The maximum number of Teacher accounts you may upload at a time is 75.
  • Login ID must be a valid email address.
    • Emails should NOT be hyperlinked. 
      • Remove hyperlinks: highlight the column containing email addresses, right-click, select "Remove Hyperlinks". 
    • Check email addresses for errors!  Remove spaces (leading, middle, end); change commas to dots; correct all typos.
  • Passwords must be six (6) characters minimum / sixteen (16) characters maximum.
    • **We suggest assigning teachers the same password initially.  Teachers will be forced to change their password when they first log in to TMLC.
    • Check passwords for leading spaces.  Sometimes pasting text adds a leading space in .xlsx cells.  
  • Leading zeros are dropped from the cells unless you change the format to Text.
  • ALL fields are required.
  • Please CONTACT SUPPORT if your upload seems to fail or ends without providing a Success message.  


EXAMPLE TEACHER SPREADSHEET -- Remember, passwords must be 6-characters to 16-characters long:

STEP 8: Now that your spreadsheet (.xlsx) is ready, return to the Upload Users In Bulk screen and click Next.



STEP 9: Click Choose File to select the spreadsheet (.xlsx) file you just populated. Then click Next to upload the data to TMLC.

STEP 10: Review the upload summary, then click Upload

STEP 11a:  Upload Users In Bulk ---> Bulk Updater


Wait for your upload to complete.  Watch the progress indicator until it displays 100% complete.  



  • You will see a summary of your upload with a link to a file with more details.  The details file will provide:
    • a list of users indicating which were Kept, Added, Deleted, or had Errors (and the specific error)
    • click the link, Click here to download detailed results to view a detailed summary
    • resolve ERRORS in your .xlsx (you can delete the accounts that uploaded successfully), save, and re-upload (Step 9

STEP 11b:  Upload Users In Bulk ---> Add

Wait for your upload to complete.  Watch the progress indicator until it displays 100% complete.

    • click the link, Click here to download detailed results to view a detailed summary

STEP 12: Each teacher will receive a Welcome email.  Please alert your teachers to look for the email in their inbox or spam/junk box. Subject: Getting Started with the Thinking Maps Learning Community (search by this to find the email).


The Welcome email is important as it contains:

  1. Your school's dedicated login page URL
  2. The teacher's login credentials

STEP 12: Verify that all of your teachers now have access to TMLC.

  • Click Licenses again.  
  • Select Users List from the Actions drop-down menu to ensure that the number of teachers matches the number of teachers you included in your .xlsx file 
  • (NOTE that the first row in the .xlsx is 1, so if the last set of data is in row 35, you only uploaded 34 teachers).
