How to create TMLC accounts for Students


*Please review thoroughly *before* adding accounts to TMLC


TO: Technology Facilitators


You should have created accounts for all of your teachers at this point-- if you have not, please go back to the instructions for creating accounts for teachers (click here):  Creating Accounts for Teachers.

  

The process for creating student accounts is slightly different, so please review the information below before getting started.


NOTE: Best browser for managing data in TMLC: Chrome, then Safari and Firefox.  IE9 is definitely not recommended for using TMLC in general. 



Let's get started!


STEP 1: 

A) Go to your school's dedicated login page  and log in

B) For Technology Facilitators with access to multiple schools: go to your default school's dedicated login page and log in.  Select the school that you want to administer via the Change School link.

  • Again, your school's dedicated login URL + your login credentials are included in your welcome email.  
  • The URL will be formatted like this: http://community.thinkingmaps.com/system/login/[your school's code] 


STEP 2: Click the gears icon (Settings) in the upper right corner:



You will land on the Dashboard which provides a snapshot of your school's TMLC information, including your dedicated Login page URL:

NOTE: If you are only assigned to administer one school, you will not see School Name and Change School in the purple bar.


NOTE: If you ARE assigned to administer more than one school, you may change the school that you want to administer by clicking the Change School link in the upper right.



CHANGE SCHOOL POP UP DIALOG 

(only for administrators of multiple schools)

 

 


 

STEP 3: From the purple menu bar, click Licenses.  From this screen you may administer Student user accounts  via the Actions drop-down.


From the Actions drop-down menu, select one of the options from the drop-down menu:


  • Users List: to view the current list of teacher accounts and their login activity
  • Add a new user:  to create a single account at a time (also available via the Users List)
  • Add users in bulk: to create multiple accounts simultaneously (also available via the Users List)
  • Change login ids in bulk: to change existing student login ids in bulk (does not change passwords)
  • Reset (Delete All Users): resets the Student license to 0 registered users so that a new set of student accounts may be created  (also available via the Users List). This deletes all student data, including maps.
  • Export: to export the Users List to a .csv file (also available via the Users List)

STEP 4a: Add new user

Choose this option to add 1 new student account at a time.  Follow the on screen instructions.

STEP 4b: Add users in bulk

Choose this option to:

  • ADD: Add multiple student accounts at one time.  For example, if you chose the Reset option earlier, you would choose this bulk upload option.
  • START FRESH: Delete all existing student accounts and create fresh, new student accounts -- all at once, in one upload.  NOTE: this will delete all existing student account data including maps.



STEP 5: PLEASE REVIEW the instructions on the Upload Users screen as well as the instructions below. Be sure to DOWNLOAD TEMPLATE as instructed:


NOTE: Thinking Maps does not send notification emails to Students.

STEP 6: Find the downloaded template in your Downloads folder. The file name will be Student Users.xlsx 

  • (feel free to rename the file, but ensure that it remains as an .xlsx)
  • Please do NOT change anything in the file itself including cell formats.


STEP 7: Populate the .xlsx file with each student's LastName (optional), FirstName (optional), LoginID (required) and Password (required).

  • Passwords and Login IDs must be 6-characters minimum
  • Passwords must be 16-characters maximum 
    • You will only be able to reset individual student passwords once the account is created. 
  • Please double-check the cells containing passwords to ensure that no leading or trailing spaces were inadvertently added when pasting data to the Excel sheet. 

STEP 8: Now that your spreadsheet (.xlsx) is ready, return to the Upload Users In Bulk screen and click Next.


STEP 9: Click Choose File to select the spreadsheet (.xlsx) file you just populated. Then click Next to upload the data to TMLC.

STEP 10: Review the upload summary, then click Upload

  • the summary will indicate whether you are about to ADD new users or Start Fresh

STEP 11a:  Upload Users In Bulk ---> Start Fresh

Wait for your upload to complete.  Watch the progress indicator until it displays 100% complete.  


You will see a summary of your upload with a link to a file with more details.  The details file will provide:
  • a list of users indicating which were Kept, Added, Deleted, or had Errors (and the specific error)
  • click the link, Click here to download detailed results to view a detailed summary
  • resolve ERRORS in your .xlsx (you can delete the accounts that uploaded successfully), save, and re-upload (Step 9

STEP 11b:  Upload Users In Bulk ---> Add

Wait for your upload to complete.  Watch the progress indicator until it displays 100% complete.  


You will see a summary of your upload with a link to a file with more details.  The details file will provide:

    • a list of users indicating which were Added or had Errors (and the specific error)
    • click the link, Click here to download detailed results to view a detailed summary
    • resolve ERRORS in your .xlsx (you can delete the accounts that uploaded successfully), save, and re-upload (Step 9

STEP 12: Verify that all of your students now have access to TMLC.

  • Click Licenses again.  
  • Select Users List from the Actions drop-down menu to ensure that the number of students matches the number of students you included in your .xlsx file 
  • (NOTE that the first row in the .xlsx is 1, so if the last set of data is in row 535, you only uploaded 534 students).

 

 


STEP 13: Ensure that all students are aware that they must login via their school's dedicated TMLC login URL.
